Refund & Cancellation Policy
Memory Box Photobooth Booking Policy

This Refund and Cancellation Policy outlines the terms for cancelling or modifying your Memory Box photobooth booking. We understand that plans change, and we strive to be fair and flexible while protecting our business interests. Please read this policy carefully before making your booking.
1. Booking Deposit
A non-refundable deposit of 25% of the total booking cost is required to confirm and secure your preferred event date and time. This deposit is held as a reservation fee and covers our administrative costs, equipment allocation, and scheduling. The deposit must be paid within 48 hours of making the booking to secure your date. Failure to pay the deposit within this timeframe will result in the booking slot being released for other clients.
2. Cancellation Schedule
Our cancellation terms are structured to protect both parties:
Cancellation 60+ Days Before Event
Refund: Full refund of all payments made minus the non-refundable 25% deposit.
Example: If total booking is ₹10,000 and deposit is ₹2,500, you would receive ₹7,500 refund.
Cancellation 30-59 Days Before Event
Refund: 50% refund of the total booking price.
Example: If total booking is ₹10,000, you would receive ₹5,000 refund.
Cancellation Less Than 30 Days Before Event
Refund: No refund will be provided.
We are unlikely to book another client for that date, and we incur significant preparation costs.
3. Service Failure or Cancellation by Memory Box
If Memory Box is unable to provide service due to technical equipment failure, staffing emergency, or circumstances within our control, you will receive a 100% full refund of all payments, including the non-refundable deposit. This refund will be processed within 7 business days. We will also offer to reschedule your event at the earliest available date at no additional cost, or you may accept the full refund.
4. Weather and Force Majeure
In case of extreme weather, natural disasters, or government-ordered restrictions that make the event impossible to conduct (not merely inconvenient), we will automatically reschedule your booking to the nearest available date at no additional charge. If rescheduling is not possible within 90 days, you will receive a full refund (including the deposit) within 7 business days. We will notify you as soon as practical if we cannot provide service due to force majeure events.
5. Rescheduling Without Cancellation
If you wish to reschedule your event rather than cancel, we will attempt to accommodate your request at no additional charge, subject to availability. Rescheduling requests must be made at least 30 days before your original event date to avoid additional fees. If rescheduling within 30 days, a rescheduling fee of ₹500 may apply depending on the circumstances. Please contact us immediately to discuss rescheduling options.
6. Partial Refunds and Adjustments
If you reduce the booking time (e.g., from 4 hours to 2 hours) more than 30 days before the event, we will issue a partial refund based on the price difference. Reductions made less than 30 days before the event are generally non-refundable, as we cannot rebook the time slot. Any applicable refund will be calculated and processed within 10 business days.
7. Refund Processing and Payment Method
All refunds will be processed within 7-10 business days after cancellation approval. Refunds will be returned to the original payment method used for the booking (bank transfer, UPI, or credit card). Please allow additional 2-3 business days for the refund to appear in your account depending on your bank. For refunds paid by credit card, the refund may appear as a credit on your next statement rather than an immediate deposit. If you don't receive your refund within 15 business days, please contact us immediately.
8. Non-Refundable Items
The following are non-refundable in all circumstances:
- The 25% initial booking deposit
- Custom backdrop design fees (if design work was already completed)
- Photographer travel/setup fees if event is within local delivery area
9. Cancellation Requests Process
To cancel your booking, please send a written cancellation request to our email address or call us directly. Your cancellation will be effective from the date we receive your written request. We will review your cancellation against the policy timeline and notify you of any applicable refund within 2 business days. Once approved, the refund will be processed within 7-10 business days.
10. No Refund for Dissatisfaction
If you choose not to use Memory Box photobooth services on the event date, after confirming the booking and paying the deposit, no refund will be issued. We reserve the date specifically for your event, declining other bookings. If you have concerns about service quality, please contact us immediately, and we will work to resolve the issue.
